Operations Coordinator

Intrinzic is hiring for an Operations Coordinator — You are an organizational guru and an AR/AP specialist with the skills to take on a wide range of responsibilities across finance and operations for the agency. Our ideal candidate would love collaborating closely with coworkers across all departments on agency needs, and partnering closely with leadership and the Client Strategy team to ensure financial goals are met. No matter the task at hand, you are self-motivated, reliable, accountable and have a crazy eye for detail, especially when it comes to financial deets. You can manage day-to-day activities with ease to ensure the agency is running efficiently and meeting the expectations of clients and staff. You are professional, passionate and present with a relentless drive to help achieve agency growth.

 

Finance Responsibilities
  • Perform multi-step monthly billing process
  • Prepare mid-month Work in Progress billing report
  • Maintain an ongoing client list and projections spreadsheet (Excel) month by month
  • A/R follow-ups and processing of Accounts Payable in a timely fashion
  • Credit card reconciliation
  • Update all agency financial spreadsheets (Excel)
  • Review and reconcile Trial balance
  • Input Resale into Timesheet program (Pro Work Flow) and Resale spreadsheet (Excel)
  • Run a weekly team utilization report for senior leadership to review
Operations/Administrative Responsibilities
  • Manage, prepare and process new vendor/partners paperwork
  • Own and manage new client setup
  • Manage and facilitate new employee on-boarding
  •  Collaborate on HR activity with Intrinzic’s parent company, Graphic Village
  • Assist with team IT support by being a liaison between IT management company and team members
  • Plan, manage and setup team meetings when needed
  • Manage all team communication regarding payroll schedules, holidays, etc
  • Assist team members with general office needs and requests
  • Contribute to projects and initiatives as needed
Requirements
  • Associates degree in Accounting or Business and 2 years of accounting experience
  • Intermediate skills with Excel, Microsoft Word, PowerPoint, G-suite, Keynote (or Powerpoint)
  • Demonstrate strong time-management skills, including the ability to work on multiple small to medium tasks simultaneously
